Business AI Workspace & Agent Team

Connect your knowledge, tools and assistants in one place

Bring your business knowledge, assistants, and recurring workflows into a connected working setup. We design specialist assistants around defined jobs, with clear access, handoffs, and approval steps. Start with one useful role. Add connected workflows as your needs develop.

Does this sound familiar?

  • The answer is always in someone's head or in a folder nobody can find.
  • We pay for three AI tools, and none of them knows anything about our business.
  • Every new hire asks the same questions in their first month.
  • The weekly report means someone copying numbers from four systems into a spreadsheet.
  • I want to try AI agents, but I don't want one sending emails or changing records on its own.

Illustrative example · Freight forwarding company

A 35-person freight forwarder runs shipments through a transport management system, shared mailboxes and a SharePoint site full of procedures. Coordinators keep answering the same customs and paperwork questions.

Before

  • Customs procedures live in old Word files and in two senior coordinators' heads. They will review and own the new procedure library.
  • Customer questions about shipment status get answered by hand, one email at a time.
  • The Monday operations report takes a coordinator most of the morning.

After setup

  • A knowledge assistant answers staff questions from approved procedures and links the source document.
  • A status assistant drafts customer updates from the shipment record for a coordinator to check and send.
  • The Monday report is assembled automatically, and the operations manager checks it before it goes out.
What we review: Which questions the knowledge assistant got wrong or couldn't answer, how many status drafts went out unchanged, and what the activity records show.

How it works

  1. 1

    Choose the first job

We pick one recurring job with a clear owner, such as answering staff questions or preparing a report, and agree what a good result looks like.

  2. 2

Gather the knowledge and set access

We collect the documents, systems and rules that job needs, decide what the assistant can read and change, and find the gaps.

  3. 3

Build the assistant and its handoffs

We build it with approval steps and activity records, connect it to the tools your team already uses, and test it on real cases.

  4. 4

Review, then decide on the next role

We check the records and the corrections staff made. Once the first role works, we decide together whether to add another.

Your setup can include

  • Shared business context
  • A knowledge library
  • Assistants for defined tasks
  • Connected tools
  • Task visibility
  • Activity records

What you bring

  • Access to the documents, drives and systems the work depends on
  • A person who owns each assistant's job and approves its output
  • Your rules on who can see what
  • Time with the staff who do the work today, to learn how it's done

What we handle

  • Designing each assistant's job, access and approval steps
  • Organizing a knowledge library from your existing documents
  • Connecting assistants to your email, drives and business systems
  • Activity records so you can see what each assistant did
  • Testing on real cases before launch
  • Documentation for every assistant and connection

What this is not

  • Assistants only know what's in the documents you give them. Out-of-date procedures produce out-of-date answers, so someone has to own the library.
  • We don't give an assistant permission to send, delete or change records unless you've approved that specific action.
  • If your core processes aren't settled yet, we'd work on the process first and add assistants later.

Tools we often work with

We start with what you already pay for. These are common, not required.

  • Microsoft 365 Copilot
  • Copilot Studio
  • SharePoint
  • Google Workspace
  • Claude
  • ChatGPT Business
  • Notion
  • Slack
  • n8n
  • Make

How we usually work on this

Build & Care usually fits, because assistants depend on documents and connected tools that change. Build the first role as a defined project, then add care once it's in daily use.

Ways to work together

Questions about ai workspace

What is an AI agent, in plain terms?

It's an assistant set up to do one defined job using your information and tools. For example, it might read a shipment record and draft a customer update. Unlike a chatbot, it can take steps in other systems. That's why we limit its access and require approval for anything that matters.

Can it see everything in our files?

Only what you allow. We set access for each assistant, and where the platform supports it, the assistant follows your existing permissions, so it can't show staff a document they couldn't already open. If your file permissions are looser than they should be, the assistant will surface that, so we check sharing settings before connecting it. Folders such as HR or finance stay out unless you decide otherwise. You can change access at any time.

Why start with one assistant?

The first one shows where your documents, permissions and processes need work. Fixing that on one job costs less than finding it across five. It also lets your team see how review and approval work before more assistants are added.

What happens if an assistant makes a mistake?

Anything that leaves the business or changes a record goes through an approval step, so a person sees it first. The activity records show what the assistant did and what it worked from, so you can trace the cause. We then fix the instruction, document or access that led to it.

How much does it cost?

Pricing is scoped per project, based on the jobs, the systems we connect and the support you want. Your proposal lists our fees and, separately, software and AI usage costs. Usage costs rise with volume, so we estimate them and show you how to keep an eye on them.
